A Document Management System is a system used to track, manage and store
documents. The Department of Education is the executive department of the Philippine
government responsible for ensuring access to, promoting equity in, and improving the quality
of basic education, wherein different kinds of documents from schools constitute a major
portion in the management and governance of the department. Growing technology needs a
system that can facilitate a more organized way of handling the documents in schools.
Teachers use the internet to pass documents through email, though as of present, some
documents are still manually managed and submitted. Various problems arise from lost records
and the difficulty to access previous documents. In order to address the problem, the study
aimed to develop a document management application for the schools of DepEd Cavite.
Developmental research was used in conducting the study. Moreover, DMADV (Define-
Measure-Analyze-Design-Verify) was used as the research method. The primary
source of data was the current position and situation of the schools and the school heads or
teachers assigned in managing the documents were the participants of the study. In
determining the number of the participants in the study, convenience random sampling was
used It was shown that the total number participants were 260
Based on the results of the study, it showed that several problems existed in using
manual operations in the teachers' way of submitting documents. This included the occurrence
of misplaced records, difficulty in producing duplicate copies of documents, difficulty in
accessing previous documents, time-consuming process of submitting documents, slow
response from the management, inefficiency in activities due to the need of technological
advancement and additional travelling expenses when going back and forth from the school to
the district office or division office to submit documents.
After identifying the existing problems on the teachers' way of submitting documents, the
document management application was developed in accordance with the critical points
wherein the problem existed mostly. The system was evaluated in terms of its functionality,
aesthetics, efficiency and usability. The developed system was given an excellent satisfaction
by the users.
For further improvement of the document management application, the researchers
recommended to provide a chat feature that help more for better communication between the
teacher submitting a document and the clerk assigned in the district and division office. It was
also recommended to enhance the graphic design to make the system easier to use and more
appealing to the eyes. It was also suggested to consider converting the system into a mobile
application and to focus on different areas which the document management application might
also be useful.
