Student clearance is one of the important forms for a student because it serves as the proof of completion of the previous semester needed to enroll in the next semester. The manual system of student clearance consumes more time for the students. The present system of clearance signing has long queuing time. The students need to bring the clearance form in different offices which seems to be exhaustive for the students. With this situation, the authors developed a lean integrated clearance system for the students of Cavite State University - Main Campus.
In conducting the study, a developmental and descriptive research was used. The. DMADV (Define-Measure-Analyze-Design-Verify) was used as the research method. The main source of data came from the Cavite State University registrar office as well as the students who considered being the beneficiaries of the proposed system. In determining the number of the participants in the study, Slovin's formula and stratified random sampling were used, there are 391 participants for this study. Value Stream Mapping (VSM) was used in order to determine the process which is considered to be the bottleneck. Pareto analysis was also used to determine the problem occurred more. The operation process chart, flow process chart, tree diagram, affinity diagram and interrelationship diagram were also used to further analyze the problems encountered.
Based on the results of the study, the authors found out that several problems existed in using manual clearance signing at Cavite State University — Main Campus. This include the following problems among others: difficulty of clearance signing on different offices, unorganized queue during clearance signing, difficulty on locating offices, difficulty on requesting new clearance, difficulty on recovering previous signatures, proof of payments problems, inaccurate payment records, not systematic sequencing, going to one office and then going back is time consuming, and unavailable officers who will sign.
After identifying the present problems, the possible solution and improvements in the study was developed like the elimination of transportation in office to another. the bottleneck in queuing of some offices and creates a highly secured, reliable, easy, and lesser error system in complying with the university's requirements. The proposed system was evaluated then, in terms of its functionality, reliability, aesthetics and usefulness which receives a very high satisfaction rating.
