The St. Dominic College of Asia Academic Record Management and Faculty Loading System (SDCA-ARMFLS) is a practicum project that has 2 accounts. (1) The Admin Account which is capable of adding of new users of the system, editing the accounts of the existing users, activating of the current academic year and semester, activating of new curriculum to be included in the system and viewing of the masterlist of the students; and (2) The Client Account has 3 users: the Registrar Account is capable of creating schedules, adding of rooms and sections, registering a student, advising of subjects, displaying and printing of COG/TOR; the Program Chair/Coordinator Account is capable of assigning load to faculty members, viewing and printing of faculty schedules, encoding and modifying curricula; and the Faculty Account that is capable of viewing and printing the faculty schedule, encoding, viewing and printing of students’ academic grades. SDCA-ARMFLS provides an easy and reliable passing of records for every student through networking. It also provides faster releasing of COG/TOR which would take only 5-15 minutes to release as compared to the existing process which takes 2 weeks before students could get it. Before developing the system, the developer identified the problems concerning the tracking of academic record of students in SDCA. She used every data gathering tool to address the problem on how to develop a computerized academic tracking record system that would manage all the academic records of the students. The developer also came up with the idea on enhancing the existing system that would automatically pass the academic records and automatically print the Certificate of Grades and Transcript of Records. In order to achieve the objective of the practicum, the developer used the System Development Life Cycle Methodology. System and requirement analysis were followed. The system was designed as client/server processing technology and connected into one database. The developer used Visual Basic for the implementation of the system. MySQL was utilized as the database and Adobe Photoshop CS4 was used for designing the interface of system. Evaluation of the enhanced system was done through testing and debugging. The system was evaluated in random by faculty members and several staff of the Registrar’s Office to determine if the system meets the required result. The respondents rated the system based on the criteria given in the questionnaires such as functionality, content, reliability, availability, maintainability and salability of the system. Overall, the respondents rated the system “Very Good”. The system also needs some improvements, thus, the developer recommends some add-ons to enhance the software. It should have an online viewing of records for the students and instructors be connected to the existing enrollment system, additional facility for back-up system and retrieval of archive records. The developer used the disadvantages of existing system to design and develop a computerized system which would help the staff and instructors in doing their jobs.
